How to Switch Processors Without Losing a Day of Sales

Most business owners stay with a bad processor longer than they should, not because they like it, but because switching sounds risky. The truth is that a clean switch doesn't interrupt your ability to take payments at all, if you do it in the right order. Here's the order.

Step 1: Read your current agreement first. Before anything, find out two things about your existing deal: is there a contract with an early-termination fee, and are you leasing your equipment. These don't stop you from switching, but you want to know the cost of leaving before you leave, not after.

Step 2: Get the new setup fully ready before you cancel anything. This is the whole secret to zero downtime. Your new account, terminal, or online checkout should be approved, delivered, and tested while your old one is still running. Never cancel the old one first.

Step 3: Run a test transaction on the new setup. Before you flip over, put a real card through the new terminal or checkout and confirm the money lands in your account correctly. Confirm your deposits are pointed at the right bank account.

Step 4: Switch over, then cancel the old one. Once the new setup is live and tested, move your business to it, and only then cancel the old account in writing. Keep a copy of the cancellation confirmation. "We never got your cancellation" is a classic way old processors keep billing you.

Step 5: Watch your first statement on the new account. Confirm the rate and fees match what you were promised. A fair provider's first statement matches the quote. If it doesn't, you want to catch that in month one.

The fees to watch on the way out: an early-termination fee if you were under contract, and any remaining balance on a leased terminal. Neither should be a surprise if you did Step 1.

Migrating recurring customers: if you bill customers on a schedule, ask your new processor how they handle moving stored payment info, this is the one piece that needs a little planning so no recurring charge gets missed.

Done in this order, your customers never notice a thing. The lights stay on, the card reader keeps working, and you simply start paying less.
